PAF Studio Terms and Policies


LIABILITY WAIVER, RELEASE AND INDEMNITY

By booking into a Pilates and Friends class you agree that:

  1. Pilates and Friends is in no way responsible for the safekeeping of my personal belongings while I attend class.

  2. Pilates and Friends does not assume responsibility for any lost or stolen personal property. If you do become the victim of a theft, immediately report it to a Pilates and Friends staff member who will try and assist you;

  3. Classes may be physically strenuous and I voluntarily participate in them
    with full knowledge that there is risk of personal injury, property loss
    or death;

  4. You, your heirs, assigns or legal representatives fully release Pilates and Friends (and its associated entities, members, employees and contractors) from any claim, loss, damage or expense of any kind including in relation to personal injury, property damage/loss, or wrongful death, occurring at a Pilates and Friends studio or elsewhere, whether caused by negligence or otherwise;

  5. I grant Pilates and Friends permission to photograph and/or video myself and may be used in advertising or marketing campaigns on website www.pilatesandfriends.nz or social media platforms operated by Pilates and Friends, and for promotional and informational material including, but not limited to, flyers, brochures, emails, advertisements, newspaper articles, TV, or cable interviews/promotions. I understand I will not be identified by name unless I give my permission, I hereby waive and release any rights to compensation for, or ownership of, such images or video.

BOOKING, ATTENDANCE & PAYMENTS


Please be aware classes are on a first come first serve basis. To avoid disappointment, classes can be booked up to 28 days in advance. If you are unable to make your class please ensure that you cancel to allow another client the opportunity to book in. If your class is cancelled due to an unforeseen circumstance you will be contacted via text, phone or email.

If you have not booked into a class, in order to avoid disappointment, please call to check that the classes are taking place, particularly in the early morning and late evening. Staff phones are answered during business hours only.
Bookings are made online or via the PAF app.
Payment must be made upon booking, no exceptions. To book into a class you must either have pre-purchased classes/memberships in your account or pay at the time of booking.

Out of consideration for the trainer, other clients, and also for your own safety, the warm-up is an important aspect of each class. Please be aware that if you are more than 5 minutes late for a class, the trainer may not let you train at their discretion.Owners and/or trainers reserve the right to restrict clients to a particular class type for safety reasons at their discretion. Owners and/or trainers reserve the right to turn clients away if they do not have the correct medical clearance.

You can only attend Pilates and Friends group classes up until you are 13 weeks pregnant, unless you have had a relevant medical practitioner clear you for Pilates. After 13 weeks we recommend you attend a Private 1:1 class or a Pilates Pre/Post-natal class (subject to availability). Please refer to Pre/Post-natal information under the FAQ section and provide a completed Authority to Exercise form.

Classes are not transferable to another individual and cannot under any circumstances be used by another person. If someone other than the person booked into the class arrives to use the class, they will be turned away from the class – or asked to create an account and purchase their own classes.

 

WAIT LISTS

Waitlist Definitions

Pilates and Friends means Pilates and Friends Head Office and any
Pilates and Friends studios.

Member means any person who is a member of Pilates and Friends or
who accesses or views our website.

Studio means the Pilates and Friends studio at which the Member
has requested to be on the waitlist.

Waitlist Terms

If a selected class at a Studio is full, Members can request to be added
to a wait list, either online or via the PAF app

If a place in the selected class becomes available, Members will be
notified between 6:00am and 10:00pm studio local time: by SMS to the Member’s mobile, if they have a valid number listed on their Account; or by email.

Members must confirm attendance at the Studio by selecting the link provided in the SMS or email within 2 hours from receipt.

Members who fail to confirm will forfeit their place on the waitlist.

Members who confirm will receive a further notification confirming their place. If no notification is received, Members should contact the Studio to confirm that their place has been validly redeemed.


CANCELLATION POLICY

At Pilates & Friends, we understand life gets busy - but to keep things fair and to make sure everyone has a chance to attend their favourite class, we have a 6-hour cancellation window for all bookings.

A late cancellation is when a class is cancelled within 6 hours of the start time, or if a client does not attend a booked class (“no-show”).

SINGLE CLASS & 10-PACK CONCESSION

If you cancel within the 6-hour window or do not attend:

The class will be deducted from your pack or single-class credit.

No refunds, transfers, or make-up classes will be provided.

CASUAL FRIENDS AND GOOD FRIENDS 

If you cancel within the 6-hour window or do not attend:

The class will be deducted from your monthly allowance.

No make-up classes or credit will be issued.

NEW FRIENDS (INTRO OFFER)

If you cancel within the 6-hour window or do not attend:

The class will be deducted from your 6-class pack.

A $10 late cancellation or no-show fee may also apply, particularly for waitlisted classes.

BEST FRIENDS (UNLIMITED MEMBERSHIP)

If you cancel within the 6-hour window or do not attend:

A $10 late cancellation or no-show fee may be charged, especially for waitlisted classes.

Frequent late cancellations may result in restricted booking access.

GENERAL NOTES
Cancellations can be made through the Pilates & Friends App or Website.

Please cancel as early as possible to give others the opportunity to attend.

The studio reserves the right to amend the cancellation window or fees with reasonable notice.

CLIENT CODE OF CONDUCT

In the studios, you agree to:

  1. Use all equipment with care and as instructed by the trainer;

  2. Respect and follow directions of the trainer at all times;

  3. Not disrupt the class or threaten the environment in any way; and

  4. Be respectful and courteous to other people in the class including the
    trainer.

Pilates and Friends has the right to remove you from the class and not allow you to return to the studio (in which case you will be refunded the remainder of any credits) if in their opinion you breach the above.


AGE LIMITS & CHILDREN

You must be at least 14 years of age to attend our classes. Children under 14 are not permitted in our studios unless accompanied by an adult (who is not attending a class). For health and safety reasons, children cannot be left in the reception area or the studio while you attend classes. Pilates and Friends’ can ask you to leave the class or studio if this policy is breached.


COMMUNICABLE DISEASE

If you have contracted a communicable disease, please ensure you have clearance in writing from your doctor before attending your next class. This is for the safety and well-being of all our clients, staff and customers.

IINTRODUCTORY SPECIAL (“NEW FRIENDS”)


This offer is for New Clients to purchase 6 classes for two weeks for $65 at Pilates and Friends Studio (valid 2 weeks) (“Offer”).


Offer Terms

The Offer is only available to New Clients of a Participating Studio.


To claim the Offer, Participants must:

Register an Account and select a Pilates and Friends Studio;

Purchase the Offer within the Offer Period;

Sign any required waivers and documentation provided by Pilates and Friends.

Class numbers are limited, therefore bookings are essential.

You can only purchase the Offer once.

The Offer is valid for 2 weeks from the date of purchase.

 

AUTO-RENEW MONTHLY PACKS (“CASUAL FRIENDS, GOOD FRIENDS & BEST FRIENDS”)

All Monthly Packs are automatically enrolled in Auto-Renew by default to ensure uninterrupted access.

How Auto-Renew Works

Auto-Renew charges are processed on the same calendar day each month as the original purchase date (the “Auto-Renew Date”).

If the purchase was made on a date that does not occur in a subsequent month (e.g., the 31st), the Auto-Renew Date will fall on the last day of that month.

If a scheduled charge falls on a weekend or public holiday, processing may occur on the next business day.

Payments are automatically deducted through Ezi Health & Fitness, which is the name that will appear on your bank or card statement.

The renewal charge is taken regardless of remaining or used classes; renewals are not tied to expiry or usage.

Monthly Packs and Auto-Renew payments are non-refundable and non-transferable between studios or individuals.

Packs cannot be extended except in cases of injury supported by a valid medical certificate. Requests must be made before the current pack’s expiry and are at the studio’s sole discretion.

Cancelling Auto-Renew

As Auto-Renew is enabled by default, clients can disable it by either:

Logging into their account via the PAF App or website, opening the Monthly Pack settings, and unticking Auto-Renew; or

Emailing their local Pilates & Friends studio at least 3 days before the next Auto-Renew Date to request cancellation.

If notice is not received within this timeframe, the next Auto-Renew payment may still be processed and is non refundable.

Payment Defaults

If a payment fails, the system will automatically retry the transaction several times.

Class access may be paused until payment is successful.

Continued failure may result in Auto-Renew being disabled and the client remaining liable for any outstanding balance (additional recovery/administration costs may apply under the Payment Default clause).

 

SINGLE CLASS

Single class purchases are automatically applied to your account upon payment.

Single classes are valid for 1 month from the date of purchase.

Single class purchases are non-refundable and non-transferable between individuals or studios.

Bookings are essential, and no-shows or late cancellations may result in the class being forfeited.

 

10-PACK CONCESSION (3 Months)


The 10-pack concession allows you to purchase 10 classes, which are valid for 3 months from the date of purchase.

The 10-pack is non-refundable and non-transferable between individuals or studios.

All 10 classes must be used within the 3-month period; unused classes will expire at the end of the validity period.

Bookings are essential for each class, and no-shows or late cancellations may result in that class being forfeited.

PRIVACY POLICY

1. Pilates and Friends may collect your personal information including name,
date of birth, contact details, emergency contact, payment details, payment
history, demographic information, health information and other information.


2. We may use your information to communicate special offers; promotions and
information about Pilates and Friends to you via email. If you do not wish to
receive these emails you have the option to opt out of future mailings. We may
also use your information to compile usage statistics and other data regarding
the use of the website services. We will not share your personally identifiable
information with third parties.


3. You can contact Pilates and Friends if you wish to request access to your
personal information, correct or update your details or raise any privacy
concerns you may have.


4. We use a third party client management software known as “MindBody”. To
create a Membership or book a class, your personal information will be provided
to MindBody. The collection and use of personal information by MindBody is
governed by the MindBody privacy policy.
